{"id":52,"date":"2009-05-04T07:30:59","date_gmt":"2009-05-04T14:30:59","guid":{"rendered":"http:\/\/www.psiwebware.com\/blog\/?p=52"},"modified":"2014-02-21T09:16:40","modified_gmt":"2014-02-21T14:16:40","slug":"outsourcing-relationships-challenging-failure-part-2-of-6","status":"publish","type":"post","link":"https:\/\/psiwebware.com\/blog\/cmms-software-7\/outsourcing-relationships-challenging-failure-part-2-of-6\/","title":{"rendered":"Establish Communication Channels"},"content":{"rendered":"<p><strong>Step 1: Establish Communication Channels<\/strong><\/p>\n<p>Communication is vital when dealing with an outsourcing relationship.\u00a0\u00a0Frequent and effective communication will be very important in this turn-around process.<\/p>\n<p>A few things to consider:<\/p>\n<p>Balance informal and formal meetings.\u00a0 Neither is sufficient by without the other.\u00a0 Not all issues can be solved over lunch nor can they be sorted in a formal meeting with many attendees.<\/p>\n<p>Review meeting agendas to make sure that the issues discussed are relevant to the overall problem.<\/p>\n<p>Work with people that you feel work productively.\u00a0 However, these people must command respect from their colleagues and have the authority to make important decisions.<\/p>\n<p>Set up meetings to analyze\u00a0issues, develop an appropriate action plan, and to monitor progress.\u00a0 Emphasize solutions to problems and service improvement.\u00a0 These are not meetings to point fingers.\u00a0 Instead, take a positive and constructive approach to problem solving.<\/p>\n<p>Remember:\u00a0 It is easy to forget the need to communicate, but without effective communications, you will not be able to keep and build good relationships.<\/p>\n<p><strong>Step 2: Review the Contractual Arrangements<\/strong><\/p>\n<p>Investigate the exact nature of your contractual agreement carefully.\u00a0 It&#8217;s a bad idea to rely on your memory or opinions from others.\u00a0 You actually need to review the contract.\u00a0 This will ensure that you don\u2019t have situations where proper procedures were not followed.<\/p>\n<p><em><strong>Make sure you check the contract for the following points:<\/strong><\/em><\/p>\n<p>Is the contract properly signed by both parties?<\/p>\n<p>Is the contract regularly updated and did both parties sign the latest version?<\/p>\n<p>Are the performance standards defined adequately and are they being met daily?<\/p>\n<p>If you find that the contract is not adequate, you will at least know where your organization stands and can avoid groundless claims and unwarranted threats.<\/p>\n<p>Beyond definitions spelled out in your contract and communicating with the other party, there should be a well documented Service Delivery Plan.\u00a0 This plan gives you a roadmap of\u00a0services that will be performed, and can be administered through advanced <a title=\"Janitorial Software\" href=\"http:\/\/www.psiwebware.com\/janitorial-software\/index.php\" target=\"_blank\">Janitorial Software<\/a> or <a title=\"CMMS Software\" href=\"http:\/\/www.psiwebware.com\/cmms\/index.php\" target=\"_blank\">CMMS Software<\/a> to make tracking progress simple\u00a0&amp; effective.<\/p>\n<p>In part three, we will review steps 3 and 4 of Challenging Failure.\u00a0 Step 3 covers researching problems and perceptions of problems.\u00a0 Step 4 covers informal discussions with both parties.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Beyond definitions spelled out in your contract and communicating with the other party, there should be a well documented Service Delivery Plan.
